That is where maintenance KPIs or key performance indicators come in. Maintenance tasks are more than just fixing things; they are about identifying what is happening behind the scenes so that your organization can always stay a step ahead of machinery failure. Maintenance metrics and KPIs provide a clear picture of how the machine is performing, how efficient your team is, and where things might go wrong. What Are Maintenance KPIs?

A maintenance KPI, or key performance indicator, is a measurable value that indicates how well your maintenance activities are performing. In simple terms, it answers crucial questions such as the following:

  • Are you resolving issues quickly enough?
  • Are you preventing breakdowns or just reacting to them?
  • Are you spending more time than you should on maintenance?

Instead of relying on intuition, maintenance KPIs provide actual data to evaluate performance and make better decisions. One thing to remember here is that maintenance metrics and maintenance KPIs are not the same, but are related. Maintenance metrics consist of raw data points, while KPIs represent a smaller, focused set of metrics that directly tie to your goals. However, both terms are nearly the same, and in most cases, people use them interchangeably. 

What Are the KPIs That Every Organization Must Track?

It is generally an excellent idea to limit your KPIs to a handful. When you have too many KPIs, keeping track of them becomes challenging. Here are five maintenance KPIs that every organization must consider for smoother operations: 

1. Mean Time Between Failures: 

Mean Time Between Failure, or MTBF, is a maintenance KPI that measures how long a piece of equipment runs, on average, before it breaks down. MTBF helps determine an asset’s reliability. A higher MTBF indicates more reliable equipment, while a lower MTBF indicates frequent breakdowns and potential underlying issues. 

Here is the formula for measuring MTBF: 

MTBF = Total operating time/Number of failures. 

2. Planned Maintenance Percentage: 

Planned Maintenance Percentage, or PMP, measures the proportion of your maintenance work that you plan versus the reactive work. Planned maintenance is much more affordable and efficient than reactive maintenance. Hence, this KPI helps answer various questions such as: 

  • Is the preventive maintenance program effective? 
  • How can you save money in maintenance operations?
  • Are you efficiently using resources for maintenance?

Here is the formula to calculate PMP: 

Planned Maintenance % = (Planned maintenance hours/Total maintenance hours) x 100

3. Maintenance Costs: 

Maintenance cost is a KPI that indicates the average cost of maintaining each piece of equipment. It looks at the total cost of maintenance activities, including labor, spare parts, tools, and other expenses. The value is then compared to a meaningful metric, such as asset value or production output. 

Here is the formula to calculate maintenance cost: 

Maintenance cost = Total maintenance cost/Total asset value. 

4. Mean Time to Repair: 

Mean Time to Repair measures the average time it takes to fix a failed asset or system and restore it to normal operation. A lower MTR indicates that maintenance operations are running optimally, the organization is experiencing less downtime, and overall operations are functioning smoothly. On the other hand, a higher MTR is something you should be cautious of because it indicates inefficient troubleshooting. 

Here is how you can calculate MTR:

Mean Time to Repair = Total repair time/number of repairs. 

5. Maintenance Backlog:

The maintenance backlog KPI measures the amount of pending maintenance work identified but not yet completed. But what counts as a backlog? The preventive maintenance tasks that are pending, the repairs that are waiting to get scheduled, and the work orders that are awaiting approvals or spare parts are all counted as backlog. 

This KPI matters because it helps organizations assess whether the team can understand the workload and plan efficiently. 

Here is how you can calculate the maintenance backlog: 

Maintenance Backlog (Weeks) = Total pending maintenance hours/available maintenance labor hours per week.

Tracking too many KPIs will create unnecessary confusion. So, it is best to stick to a handful that give you a clear idea of how the maintenance team performs the tasks. Now, if you ask which KPI is the most important, there isn’t a straightforward answer. Generally, a bunch of KPIs combined gives you a better idea of the current status of your operations’ efficiency. 

KPIs provide clarity on maintenance operations and guide stakeholders’ decisions. So, it is important to choose them wisely.
